Choose what Technicians and Office Admin can see and change in each part of the portal. Managers always have full access, and only Managers can open this Admin page, so nobody can lock themselves out. Everyone can always fill in their own timesheet and update their own profile and training. Changes apply as soon as you save; people may need to refresh.

Switch parts of the portal on or off for the whole company, or try a new feature with a few people first. On: shown to the levels ticked. Trial: only the people you choose (and super admins). Hiding a feature only changes what people see. Who can open or change the information itself is still set by Permissions and protected by the database.

How the pay sheet sorts hours into ordinary, overtime and penalty rates. Starting values follow the Building and Construction General On-site Award 2020 (MA000020) for day workers; check them with your bookkeeper and update them when the award changes (usually 1 July). Everyone uses these rules; only super admins change them.
What each technician really costs per billable hour: everything spent on them in a year ÷ the hours you can bill. Company-wide figures first; each person can override vehicle cost and utilisation. Have your accountant confirm the on-cost percentages and overheads the first time.
Values the portal uses in timesheets, calibration, defects, leave and costings. Everyone on staff uses these settings, but only super admins can change them.
Bring your current workload into the portal in one go, or take a copy out. Download a template, fill it in with Excel (one row per project or contact), save it, then choose Import file. You'll see every row before anything is saved. Existing records are updated rather than doubled up: projects are matched on job number (or name if there's no job number), contacts on email (or name).
